Privacy
bestvenue is a booking system for event venues. This page explains what we collect, why we hold it, and how to get it back or deleted. It is written to be read rather than to be survived.
What we collect
- Your account. Name, email address, and the venue workspace you belong to. Handled by Clerk, our authentication provider.
- What you put in. Venues, rooms, contacts, leads, bookings, notes, and invoices you create. This is your data; we store and process it so the product works.
- Payment records. If you collect deposits through Stripe, we store the invoice status and amount. Card details never reach our servers — Stripe handles them.
- Files you keep with us. Logos, photos, video and documents you upload to your library, and graphics you make in the studio.
- Assistant conversations. What you ask the assistant and what it answers, kept so you can return to a conversation. Each conversation is visible only to the person who had it.
- Facebook and Instagram, if you connect them. Your Facebook Page’s name and id, the Instagram account linked to it, an access token that lets us post on your behalf (stored encrypted), and the posts you publish through us with their like, comment and share counts. We do not read your messages or the contents of comments.
- Product analytics. Pages visited and features used, through PostHog, so we know which parts of the product are working.
What we do not do
We do not sell your data, we do not share your client lists with anyone, and we do not use the contents of your bookings to advertise to you or anyone else.
Who processes it
- Clerk — accounts, organizations, and sign-in
- Convex — the database holding your venue data
- Vercel — hosting and delivery
- Stripe — subscription billing and deposit collection
- Resend — transactional email such as invitations
- PostHog — product analytics
- Anthropic — the assistant, captions, and descriptions of library files. What we send is processed to answer and, under Anthropic’s commercial terms, is not used to train its models.
- Cloudflare — storage for library files
- OpenAI — only if your venue generates images in the studio, and then only the description you write for the image
- Meta — publishing to the Facebook Page and Instagram you connect
Facebook and Instagram
Connecting is optional and can be undone at any time: disconnect from the Social page in the app, or remove bestvenue under Settings → Business integrations on Facebook. Either way we delete the access token at once. To have us delete everything we hold from your Facebook connection, see data deletion.
How long we keep it
For as long as your workspace is open. If you close it, we delete your venue data within 30 days, except records we are required to keep for tax and accounting.
Your rights
You can export your data at any time from the app, ask us for a copy, ask us to correct it, or ask us to delete it. Email privacy@bestvenue.tech and we will respond within 30 days.
